Almost there

This app does not know which database to talk to yet.

  1. Find the file public/config.example.js.
  2. Copy it, in the same folder, and name the copy config.js.
  3. Open config.js and paste in your Project URL and anon public key from Supabase (Project Settings → API).
  4. Reload this page.

Never paste the service_role key here. That key ignores every rule in the database.

LOOK AND FEEL

Dark is easier at night; light is easier in direct sun on the shop floor. System follows this phone or PC. Saved on this device only — it does not change what anybody else sees.

THEME

ACCENT

Colours buttons, links and the selected menu item. It never changes red, amber or green — those mean something.

TEXT SIZE

Everything scales together.

Press details ›

Shown in the side panel and on the estimate. Everybody sees the change the next time they open the app.

The lists behind the dropdowns ›

These fill the dropdowns on a job card. Switching one off hides it from new cards but leaves it on the old ones, so nothing already recorded changes. Nothing here can be deleted.

Job card numbering ›

A new letter each financial year. This year (—) is —. Numbers are given out by the system and never reused.

Set a year's letter

Only possible before the first job card of that year. Once a year has cards in it the letter is fixed, or numbers already given out would be handed out again.

Looking after the data ›

Read this once. It is the part that matters if something goes wrong.

  • The nightly backup is the only other copy. The hosting plan keeps none of its own. A script on a PC at the press writes every table to CSV each evening. If it stops running, there is nothing to restore from.
  • Check it once a month. Open the newest backup folder and look inside. An unchecked backup is a rumour.
  • Keep a copy away from that PC — a pen drive or cloud folder once a week. A copy on the same machine does not survive the machine dying.
  • A long shutdown pauses the database. After about a week with nobody using it the hosting pauses the project. No data is lost; somebody has to press Resume in the Supabase dashboard before staff come back.
  • Switch a login off the day somebody leaves, on the People screen. Never share a login to avoid this.

START HERE

Taking an order

  1. Press New job card. The card number is given out by the system — J - 1, J - 2 and so on — and is never reused, so two people taking orders at once cannot end up with the same number.
  2. Pick the customer. Start typing and the list narrows. A name that is not there yet is added to the customer list when you save.
  3. Put in the delivery date. This is what the dashboard counts as overdue, and it is the question customers ask most.
  4. Add the items. Each line has its own quantity, rate and printer — the item goes to whoever is printing it, so one card can be split across several.
  5. Save. Everybody else sees it immediately.

THE QUICK WAY

“What have we done before?”

On a job card, type into that box — a product, a customer, a few words of a description. It searches every item line the press has ever quoted and shows what was done, with its rate. Tap one and it copies onto the card.

Use it instead of retyping. It is also the honest answer to “what did we charge them last time?”. Always check the quantity and the rate before saving — prices move.

MONEY

Advances, payments and what is pending

Receipts are a list, so a customer can pay in as many instalments as they like. Add each one as it comes in, with the date and how it was paid.

Job card amount
Everything the items add up to
Receivable
Advance + payments + discount
Pending
Bill amount − advance − payments − discount
Bill vs job card
The bill against what the items came to. Anything other than zero means one of the two is wrong.

The GST invoice itself is still raised in the accounting software. This app records the bill number and amount and follows the money — it does not produce the bill.

THE SHOP FLOOR

Moving a card along

Open the card and change its status. Production staff see a job card with its items, quantities, sizes and printer, and an Update status button — and no money at all. That is not a screen trick: the database refuses to hand them a rate even if they ask it directly.

Every change is recorded at the foot of the card, with who made it and when. That record cannot be edited or deleted by anybody, including the owner.

WHEN SOMETHING LOOKS WRONG

Where to look first

  • A figure looks wrong — open the card and read the Activity list at the bottom. It says who changed what.
  • Somebody cannot sign in — the owner invites their email on the People screen first, then they create their own login with that same email. Without the invitation their login is created switched off and they see nothing.
  • Everyone gets an error after a long holiday — the database pauses when nobody uses it for about a week. Press Resume in the Supabase dashboard. Nothing is lost.
  • A customer or printer is missing from a dropdown — customers are added by typing the name on a job card; printers, binders, products and the rest live on the Settings screen.

Job Card

Version

Job cards for the press: take the order, route each item to its printer, move it through the shop, and follow the money until the bill is cleared.

HOW IT WORKS

One app, one database

This is a website that installs onto an Android phone like an app. There is nothing separate to update — everyone gets the new version the next time they open it.

The job cards live in one shared database, so the counter, the press, binding and delivery all work from the same card at the same time.

WHO SEES WHAT

Rates are withheld, not hidden

Money lives in its own tables, closed to anyone who is not the owner or counter staff. A production login asking the database directly for a rate gets nothing back — not a blank box on screen, but no answer at all.

  • Owner — everything, including adding people.
  • Counter — job cards and money, cannot add people.
  • Production — items, quantities, printer and status. No rates, no bills, no receipts.

YOUR DATA

Where it is kept

The database is hosted in Mumbai, so the customer list and the pricing stay in India. Nobody can read any of it without a login of their own.

A nightly copy of every table is written to a PC at the press as plain CSV files, which open in Excel. That copy belongs to the business, not to a supplier. If it stops running, there is no other copy.

For anything that looks wrong on a job card, start with the Activity list at the foot of that card — it records who changed what, and cannot be edited.
